EquipAssist Privacy Policy

1. Who We Are

EquipAssist is operated by Earl Clark, operating as EquipAssist (“EquipAssist,” “we,” “us,” or “our”) in North Carolina, USA. EquipAssist provides a platform that helps people list, locate, discuss, lend, and borrow medical equipment (the “Service”).

This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use the EquipAssist mobile application, website, support channels, and related services.

2. Information We Collect

2.1 Information You Provide

Depending on how you use the Service, you may provide:

  • Account and profile information, such as your name, email address, phone number, profile photo, biography, and general location
  • Equipment listing information, including descriptions, availability, photos, and condition information
  • Borrow requests, meeting or pickup details, and transaction status information
  • Messages, reviews, reports, support requests, and other communications
  • Preferences, notification settings, language choices, and privacy settings
  • Health-related information you voluntarily include in your profile, requests, listings, or communications
  • Information used to verify account ownership or protect account security

Please do not provide health or other sensitive information that is unnecessary to use the Service.

2.2 Information Collected Automatically

When you use the Service, we may collect:

  • Device, operating system, application version, browser, and network information
  • IP address, timestamps, authentication events, session information, and security logs
  • Push-notification tokens and notification delivery information
  • Feature usage, searches, interactions, and diagnostic information
  • Location information when you grant device permission, including information used to show nearby equipment or coordinate an exchange

You can control location, camera, photo-library, notification, and biometric permissions through your device settings.

2.3 Sign-In Providers

If you use a supported third-party sign-in provider, we receive the information needed to authenticate your account, such as a provider identifier, email address, and basic profile information. The provider handles your credentials under its own privacy policy.

2.4 Biometrics

If you enable Face ID, fingerprint, or another supported device biometric, authentication is performed by your device’s operating system. EquipAssist does not receive or store your facial image, fingerprint, or biometric template. We store only the local preference needed to know that biometric unlock is enabled and securely stored session credentials used after your device confirms authentication.

3. How We Use Information

We use personal information to:

  • Create, authenticate, secure, and maintain accounts
  • Display profiles and equipment listings according to your visibility settings
  • Process borrow requests and support communication between users
  • Provide messaging, meetings, notifications, search, and location-based features
  • Respond to support, privacy, safety, and account requests
  • Generate a requested copy of your account data
  • Detect fraud, abuse, unauthorized access, and violations of our terms
  • Maintain, debug, measure, and improve the Service
  • Comply with applicable law and protect users, EquipAssist, and the public

We may use aggregated or de-identified information for analytics and service improvement when it can no longer reasonably identify you.

4. How We Disclose Information

4.1 Other Users

Information you make public, such as your display name, profile photo, public profile details, equipment listings, and reviews, may be visible to other users. Transaction participants may receive information reasonably needed to communicate and coordinate a borrow, pickup, meeting, or return.

Do not share an exact home address, medical details, or other sensitive information in a public profile or listing.

4.2 Service Providers

We may provide information to vendors that host infrastructure, deliver email or push notifications, support authentication, store files, monitor reliability, or otherwise process information for us. They may use the information only to perform services for EquipAssist and subject to appropriate contractual or legal restrictions.

4.3 Legal, Safety, and Business Reasons

We may preserve or disclose information when reasonably necessary to comply with law or legal process, investigate fraud or threats to safety, enforce our agreements, respond to emergencies, or complete a business transfer subject to applicable law.

4.4 No Sale of Personal Information

EquipAssist does not sell personal information for money. We do not disclose personal information for third parties’ independent targeted advertising without providing any notice and choice required by applicable law.

5. Health and Medical Information

EquipAssist is a community equipment-sharing platform, not a healthcare provider, insurer, medical professional, or emergency service. The Service is not intended to create an electronic medical record or replace professional medical advice.

Unless a separate written agreement expressly states otherwise, EquipAssist is not acting as a HIPAA covered entity or business associate merely because a user voluntarily shares health-related information through the Service. Avoid sharing sensitive health information unless it is necessary and you understand that transaction participants may see information you send to them.

6. Data Security

We use administrative, technical, and organizational safeguards designed to protect personal information. These include encrypted network connections, password hashing, access controls, security logging, short-lived access credentials, rotating session credentials, and secure device storage where supported.

No system is completely secure. You are responsible for protecting your device and credentials and for promptly reporting suspected unauthorized access to support@equipassist.net.

If a security incident affects your personal information, we will investigate and provide notice as required by applicable law.

7. Retention and Deletion

We retain information for as long as reasonably necessary to provide and secure the Service, comply with law, resolve disputes, prevent abuse, and enforce agreements. Retention varies by the type of information and why it is held.

You may schedule account deletion in the application. EquipAssist currently provides a seven-day grace period during which you may cancel. When the request becomes due, we delete the account from active systems and remove or anonymize associated information according to database relationships, operational requirements, and applicable law. Limited information may be retained when required for security, fraud prevention, legal obligations, active disputes, or valid legal holds. Backup copies may persist temporarily until overwritten under normal backup cycles.

8. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information, and to appeal or complain about certain privacy decisions.

You can:

  • Review and update many account details and preferences in the application
  • Control device permissions through your operating-system settings
  • Disable nonessential notifications in application or device settings
  • Request a JSON or CSV export through Download My Data
  • Schedule or cancel account deletion through Account Settings
  • Submit a privacy request to support@equipassist.net

We may need to verify your identity before completing a request. We will respond within the period required by applicable law. Some rights are subject to exceptions.

9. State and International Privacy Rights

Residents of states with comprehensive privacy laws, including California, Colorado, Connecticut, Virginia, and other applicable jurisdictions, may exercise the rights provided by their local law. EquipAssist will not unlawfully discriminate against you for exercising a privacy right.

The Service is currently operated from the United States. If you access it from another country, your information may be processed in the United States, where privacy laws may differ. We will honor rights that apply to our processing, but this policy does not represent that EquipAssist is established in or specifically offered to every jurisdiction.

10. Children’s Privacy

The Service is intended for adults aged 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information, contact us so we can investigate and take appropriate action.

11. Third-Party Services and Links

The Service may link to third-party websites or services. Their privacy practices are governed by their own policies, and EquipAssist is not responsible for those practices.

12. Changes to This Policy

We may update this Privacy Policy as the Service, law, or our practices change. We will update the date above and provide additional notice when required. Material changes apply prospectively from their stated effective date.
